Meetings Department Associate | Independent Contractor - Web Content Management

Meetings Department Associate

Pulmonary hypertension (PH), a life-threatening illness described as high blood pressure in the lungs, affects people of all ethnic backgrounds and ages. The Pulmonary Hypertension Association is a dynamic, fast-growing organization serving PH patients, their family members and the medical community. PHA works to raise awareness of PH in the general public and medical community, advocates for legislation, supports research in the field, and aims to help patients connect with others to end their isolation. 

One of the major focuses of the Pulmonary Hypertension Association is medical and patient education. The organization hosts up to five meetings a year to further the understanding of pulmonary hypertension at both the patient and medical professional level. PHA is seeking a Meetings Department Associate to help coordinate and implement the logistics for these events. The Meetings Department Associate will report to the Director of Meetings & Conference Planning and will work as part of a three-person team to coordinate PHA’s three major meetings:

PHA’s Biennial Conference
PHA’s Biennial International Conference is a unique event that brings together PH patients, caregivers and medical professionals to present information on all aspects of pulmonary hypertension – from diagnosis and treatment, to tips for managing symptoms day-to-day. Session content is developed by patients and renowned medical experts from PHA’s Scientific Leadership Council, with the Meetings Department facilitating marketing efforts and meeting logistics.

PHA on the Road: PH Patients & Families Education Forums
The PHA on the Road: PH Patients & Families Education Forums are a series of four, one-day seminars that present information on the mechanisms, diagnosis and treatment of PH to patients and their family members. The Medical Services Department works with physicians and allied health professionals to develop content, while the Meetings Department facilitates marketing efforts and meeting logistics.

PH Resource Network Symposium
PH Resource Network, with support from PHA, organizes a biennial Symposia targeted toward nurses and allied health professionals working within the PH field. The Medical Services Department works with the PH Resource Network Symposium Committee to develop content, while the Meetings Department facilitates marketing efforts and meeting logistics.

Principal duties and responsibilities:

  • Administer the online registration process for PHA’s events.
  • Mange the event room block to ensure patients’ ADA needs are taken into consideration.
  • Coordinate the tradeshow exhibits for each of PHA’s meetings.
  • Contract with outside vendors to produce enduring materials from meeting content.
  • Design event tote bags, t-shirts and other promotional materials.
  • Plan and execute PHA’s Board of Trustees Meetings (2 per year).
  • Plan and execute PHA’s Corporate Committee Meetings (3 per year).

OTHER DUTIES
Other duties as the Director of Meetings & Conference Planning shall assign. Some domestic travel is required.

Qualifications
Minimum knowledge, skills and experience, and education:

  • have a minimum of 1-2 years related experience or relevant coursework
  • be highly organized, goal-oriented and able to work on a deadline
  • posses strong oral and writing skills
  • be able to think creatively and strategically
  • be self-motivated and able to excel in independent work, as well as in collaborative settings
  • be prepared to work in a fast-paced, professional office setting
  • event planning experience preferred

PHA seeks to hire dynamic, energetic individuals who bring enthusiasm and creativity to our work. Medical knowledge and expertise is not required for this position, however having an interest in medical issues and health is a plus. Position is ideal for candidates with an interest in public health, nonprofit management, social work and other related fields who enjoy working in a fast-paced, friendly office environment.

Independent Contractor -- Web Content Management
20 hours/week

June 2009 - January 2010

The Pulmonary Hypertension Association (PHA) works to find ways to prevent and cure pulmonary hypertension as it serves patients, caregivers and medical professionals through support, education, advocacy and awareness. Information technology, particularly the Internet, has made a huge contribution to raising awareness and ending the isolation of PH patients. PHA’s website, www.PHAssociation.org, is the place for the PH community to find information about PH medical and insurance resources, including finding a PH specialist. It is also the portal for our very active online PH community to communicate with each other and get involved in the fight for a cure.

PHA is currently undergoing a complete website overhaul, including a redesign, reorganization of the information architecture, and transfer from a static site to a content management system.

The PHA web team is led by the Director of Web Services and supported by several part-time contract positions, a Web Intern and PHA’s Office Operations Manager.

Project overview

The Independent Contractor for Web Content Management will be tasked with the following projects:

  • Implementing most site updates, and making assignments to other web team members as appropriate.
  • Providing edits to site updates for PHA style guide (AP style) and suggestions for layout and usability.
  • Creating new sections or event sites as needed.
  • Working as part of a team to migrate content and setup our new website in a content management system.
  • Assisting with editing and laying out e-mails to our lists.
  • Other tasks as assigned.

Required Skills:

  • Solid knowledge of Adobe Dreamweaver and basic HTML
  • Experience with content management systems (CMS)
  • Basic image editing in Adobe Fireworks, Photoshop or other graphics program
  • Ability to quickly learn new computer skills
  • Strong writing skills
  • Strong interpersonal communication skills; ateam player who can work with staff and volunteer contributors
  • Ability to multi-task, pay attention to detail, and think creatively and strategically

Desired Skills:

  • Familiarity with Blackbaud NetCommunity and/or Raisers Edge
  • Experience with content migration
  • Editing for style guide, knowledge of AP style
  • Message development or writing for the web
  • E-mail writing, design and strategy
  • Graphic design, including Adobe Flash
  • Interest in healthcare issues and in working with a nonprofit organization

This is a temporary contract position, up to 20 hours per week for the months of June 2009 through January 2010, with the possibility of an extension. There is also a possibility of increased hours September through December. Because of its nature, much of the work will need to be performed in our office in downtown Silver Spring.
