Send a News Release

PH Research Act press conferenceNews releases are targeted at a broad audience when you want to get basic information out. For example, if you have an event and would like people to know about it, you could write a news release and send it to targeted media outlets. The media outlets may then choose to print or air the information letting their audience know about your event.

Steps:

  1. Create a media list
    Pull together the names and contact information of the media outlets you want to get in touch with. There are three ways you can go about collecting this information.
    • If you have Internet access, you can go to PHA's media search page. Type your zip code in the box and click on 'Go'. The next page will show a list of all the media outlets in your area. You can click on their underlined names to get more information about each one.
    • If you do not have Internet access, you can use your local telephone book to look up media outlets and get their contact information.
    • If neither of these options are available to you, you can call us at 301-565-3004 x109. We will help you get the information you need to compile your media list.
       
  2. Write your news release
    There is a standard format that most news releases follow.
    • The date you want the release to go on air or in print is placed at the top left corner of the page.
    • Your name and contact information are placed at the top right corner of the page.
    • The title line of the release is a couple lines below that. This is the space where you briefly explain what the release is concerning. Use as few words as possible.
    • Next is the body of the release. The first information presented is the location of the event and the date that it falls on. After that, write the main message you want to promote. News releases are usually just one page long, so try to keep your message within this length.

  1. Send your release out
    Fax or send your release to your media contacts at least one week before the event.
     
  2. Tell PHA
    Send a copy of your news release, media evaluation form and a sample of any coverage generated to PHA. PHA will send you a certificate of recognition and offer you the opportunity to connect with other active members of the PH community and invite you to share your experience on the PHAware message board.
