The exhibit hall at PHA's PH Professional Network Symposium is an exciting opportunity for members of the PH-treating healthcare professional community to connect with familiar faces and forge new professional relationships. Exhibit hall visitors range from nurses and physicians to respiratory therapists to social workers -- there will be a chance to learn something new around every corner.
Exhibit Fee and Space Allocation
Exhibit booths are available for $3,500 per booth. Each booth space is 10' x 10'. Diamond Sponsors may purchase up to 5 booth spaces; Platinum Sponsors may purchae up to 4 booth spaces; Gold Sposors may purchase up to 3 booth spaces; and Silver Sponsors may purchase up to 2 booth spaces. Each booth space comes furnished with one 6' skirted table, two chairs, a waste basket and an ID sign.
Exhibit Space Assignment
PHA will assign exhibit booth space based on exhibitors' sponsorship level, stated booth preference and booth availability. Exhibitors will indicate their three preferred booth configurations. Diamond, Platinum, Gold, Silver and Bronze Sponsors who have signed an exhibiting contract and paid in full have first priority in the assignment of exhibit space. The order in which space is assigned will be based on approved sponsorship funds as of Friday, June 21, 2013, starting with the preferences of the highest Diamond Sponsor.
Booth spaces for non-sponsors will be assigned on a first-contracted/paid, first served basis following the assignment of space for all other sponsor companies. Every effort will be made to accommodate requests for booth assignments. PHA reserves the right to make changes to the floor plan of booths as may be deemed necessary at its sole discretion. Booth assignments for companies that have signed contracts and paid the exhibit fee will be communicated by Friday, June 28, 2013.
Nonprofit organizations may purchase one booth space at a 50% discount. Booth exchange is available under special conditions. If you are interested in a booth exchange, please contact Exhibitors@PHAssociation.org.
Payment and Contract
PHA accepts payment by credit card or by check. Please see the Exhibitor Contract for payment details. Signed contracts can be mailed to PHA, Attn: Symposium Exhibits, 801 Roeder Road Suite 1000, Silver Spring, MD 20910, faxed to 301-565-3994, or emailed to Exhibitors@PHAssociation.org. Contracts and payments are requested by Friday, August 2, 2013.
Full refunds will be made for cancellations if PHA is notified at least 60 days prior to installation day.
Two complimentary Symposium registrations are provided per exhibiting company that allow access to all meals, breaks and sessions. The two representatives using the complimentary registrations should register using the Exhibitor Registration Form. All other company representatives should register at the corporate rate online at www.PHAssociation.org/PHPN/Symposium/Registration.
Exhibit Hall Only registrations
Free Exhibit Hall Only registrations are available upon request. These registrations allow access only to the exhibit hall and will be clearly marked as such on the registrant’s name badge. Meal tickets will be available for purchase on site at the registration table; complimentary meal tickets are available to some sponsors (see the Sponsorships page for full details).
A $50 administrative fee will be charged for any registration changes. A $50 administrative fee will also be charged for any registrations submitted after registration officially closes on Thursday, September 19, 2013.
Official General Contractor
PHA has appointed Hargrove, Inc. as the official general contractor for the 2013 PH Professional Network Symposium.
Shipping and Exhibit Services
Hargrove will send each exhibitor a service kit that contains a full list of exhibit services and complete instructions for shipping and material handling. Please do not ship any exhibit materials directly to the Crystal Gateway Marriott. Any shipments sent directly to the hotel will be refused. All shipping should be coordinated through Hargrove.
The exhibitor shall be fully responsible to pay for any and all damages to property owned by the Crystal Gateway Marriott, its owners or managers which result from any act or omission of the exhibitor. The exhibitor agrees to defend, indemnify and hold harmless the Pulmonary Hypertension Association and the Crystal Gateway Marriott and their respective employees and agents against any claims or expenses arising out of the use of the exhibition premises. The exhibitor understands that neither the Pulmonary Hypertension Association nor the Crystal Gateway Marriott maintain insurance covering the exhibitor’s property and it is the sole responsibility of the exhibitor to obtain such insurance.
Exhibitors must adhere to all municipal and state laws, rules and regulations. All drapes, table coverings, and other materials must comply with fire department regulations.
The exhibit hall is in a hotel; however, security will not be provided when the exhibit hall closes nor is there locked storage available. Neither PHA nor the Crystal Gateway Marriott can be held responsible for the safety or security of any exhibit materials.
Exhibitors are not permitted to host outside activities which would take qualified attendees from official PHPN Symposium functions during scheduled hours.
Companies are not permitted produce or post their own signage outside of their own booth space.
PHA does not offer lead retrieval.
