Getting Down to Work

5 Fundraising Tips from PHA Support Group Leaders and Special Events Organizers

  1. Prepare a sponsorship letter that explains what PH is, what you are doing, and why. Explain what the donation will be used for (be specific!). Have concrete ideas of what you are asking for, such as cash, meals, gift cards and auction items. It makes it easier for a potential donor to say “yes” when you make a specific request.

  2. Contact people and businesses with whom you have a relationship. Tell them about your work and ask permission to post a flyer in their window advertising your event or the contact information of your association. Emphasize the important role of your organization in the community. Highlight your goals and objectives. Emphasize the small funding resources given to rare diseases and remind the donor that donations are tax deductible (if applicable to your association). Small businesses can help either by supporting your work financially or by creating opportunities to advertise your group and increase its visibility.

  3. Appeal to the donor's advertising advantage. Explain the number of people you expect will attend your event and see the donor's item(s), or acknowledgement of sponsorship, on display. If you receive a large company donation ask for an electronic version of their logo so that you can give proper recognition and use it in the program of your event.

  4. Take the item with you if possible, or arrange for pick-up. Promptly provide a completed contribution form or receipt with necessary tax information.

  5. If you are turned down, be gracious. Some companies may not feel comfortable making donations to new groups, or they may not have the funds or items to spare. By maintaining good relationships, you might be able to involve them in a later project. Thank them for their consideration and explain that you will contact them again the next time you hold an event. Remember: a negative response is not directed at you personally.
